Position Summary:

The Office Administrator, working full-time in OVJP Corp’s Santa Clara, CA office, will play a key role in the organization with a broad range of responsibilities. Some of these responsibilities include: shipping/receiving, Facility/EHS support, Engineering documentation and file maintenance, and HR duties such as coordination of “lunch and learn” events and other team building exercises. The ideal candidate will be an enthusiastic, highly professional, punctual, and friendly individual that has strong verbal and written communication skills, with the ability to multi-task, prioritize, and self-manage.

 

Responsibilities:

  • Shipping and Receiving duties for the site with accurate logging of shipments into SAP
  • Facilities/EHS duties including ensuring that all policies and training materials are up to date
  • Responsible for maintaining when new training is required and scheduling as needed
  • Assist engineering group with document control rollout
  • Responsible for team building events at the site including “lunch and learn” and guest speaker visits
  • Work with the CEO of OVJP and UDC HQ to plan events, activities, and trips to ensure there is an open line of communication with all staff at OVJP and UDC HQ
  • General office duties such as answering and directing phone calls, disseminating incoming mail, filing, copying, scanning, faxing, data entry and shredding
  • Ensures effective administration and tidiness of conference rooms, copy room, and kitchen
  • Administration of inventory and preparation office and kitchen supply orders
  • Coordination of catering for business lunches and making reservations
  • Proactively collaborate with other administrative staff at UDC
  • Assist with basic travel arrangements as needed
  • Preparation of expense reports
  • Organizational projects
  • Other tasks as assigned

 

Qualifications:

  • Experience in administration within a corporate environment
  • Previous administrative work experience within Academia or an R&D organization is a plus
  • Excellent written and verbal communication skills with strong attention to detail
  • Superior interpersonal skills with ability to resolve issues with diplomacy and discretion
  • Expert time management ability
  • Ability to manage conflict in a calm and professional manner
  • Ability to prioritize and multi-task
  • Strong follow-up/organizational skills
  • Proficiency in Microsoft Office Suite (specifically Outlook, Word, Excel)
  • Experience using Concur for Travel and Expense is a plus

Salary range per year: $45,000/year to $65,000/year + bonus + equity + benefits.
